Senior Employee Services Administrator - Vetting

Role Purpose 

To deliver a high level of customer service and supervise the ES security clearance team on a day to day basis, providing a service to QinetiQ, its contractors and tenants for security clearances and site access administration and together with the Team Lead be responsible for ensuring a high level of customer service for Security clearance requests, these requests will be received via phone, email or in person.   To train, guide and support their team as required.


Key Accountabilities

  1. To provide Vetting customer support via phone, email and in person maintaining a high degree of customer service at all times.
  2. Ensure compliance with organisation policies, procedures and work instructions.
  3. When required, take ownership of specific customer cases and be proactive when in finding a solution.
  4. To be the escalation point within the team of administrators, and if need to initiate further escalation procedures.
  5. Liaise with third parties if required.
  6. Provide expertise in Vetting administration practices.
  7. Delivers customer services based outputs to a high standard managing and completing tasks, by using own initiative.
  8. Supports the development of other team members by giving guidance and training on Vetting admin and acting as the first point of contact for the Level 1 Administrators.
  9. Resolves queries using judgement based on analysis of information and knowledge and experience of processes and services.
  10. Delivers agreed additional services across the business in line with needs as determined by the Team Leader.
  11. Supports the effectiveness of the Employee Services team by proactively seeking areas for continuous improvement, implementing improvements as well as supporting others with CI activities

    Experience & Qualifications
  • Good general education e.g. GCSE (or equivalent)
  • Communicate effectively in English
  • Have a strong understanding of QinetiQ and HMG security processes related to clearances, site access and general security.
  • Excellent communicator
  • Calm under pressure.
  • Must have a proactive approach
  • Experience working in a customer service or administration role
  • Proficient in Microsoft Word, Excel, Access and PowerPoint
