Role Purpose

Support the Australia Sector Leadership Team (LT) with the UK led administration activities, by managing and co-ordinating travel, and tasking that optimises the efficiency of the team. This will include direct support to any Sector LT members when in the UK/ Europe, as well as prioritisation of all required support to the Sector Chief Executive when in the UK/ Europe.

 

This role works in partnership with the business support team in both Australia and the UK, including the Executive Assistant (EA) to the Australia Sector Chief Executive, the EA to the Group Chief Enterprise Services Officer.   Overall, enabling the efficient and effective operation of a global business by providing supporting information, managing collaborative tools and educating our people on technology solutions which improve collaboration and connection in a one QinetiQ team better working.

 

Key Accountabilities

  • Working closely with the EA to the Chief Executive Australia Sector, coordinate and manage a seamless support provision to the CE, irrespective of country the CE is in; 
  • Support the travel and accommodation requirements of Australia Sector LT and Enterprise Services LT members;
  • Provide support to all overseas travellers from within the Australia Sector to obtain visitors clearances and authorisation for access to UK sites and capabilities;
  • Ensure proactive preparation for meetings with compilation of essential material is provided in advance;
  • Work closely with the Business Administrator – Australia to oversee and manage the Leadership Team action register, to ensure effective and efficient progress is tracked, and actions completed in a timely manner;
  • Manage the Australia Sector online information stores (currently QShare) and support the Sector LT in the use of modern technological solutions to information management;
  • Support the production of management reporting, including PowerPoint and Word formats, to a high level of professional quality;
  • Provide a comprehensive set of support services, such as raising Purchase Orders, escorting visitors/customers, and being a focal point of understanding of the UK business into the Australia Sector;
  • Support the planning and delivery of events and large meetings, with multiple country representatives, including arranging schedules, accommodation and facilities.

•    Highly motivated, a self-starter with initiative and capable of working with minimal supervision;
•    Excellent verbal and written communication skills;
•    Experienced in working across multiple timezones & locations 
•    Highly effective at planning and organising;
•    Ability to work well with multiple conflicting demands, prioritise and meet multiple deadlines, using discretion to escalate issues for resolution as needed;
•    Highly developed attention to detail;
•    A keen interest in problem solving and innovation;
•    Flexible, approachable, friendly & adaptable nature.

 

Experience & Qualifications

•    Proven experience in an Executive/Personal Assistant role at a high level within industry;
•    Have appropriate proficiency in MS Office.
